Privacy Policy
This policy explains how In Health handles personal and health information, in plain language.
Who this policy applies to
In Health is the naturopathy and energy practice of Shirley Carmont on Sydney's Northern Beaches. In Health aims to handle personal information respectfully and in line with applicable Australian privacy requirements.
Information collected
When you make an enquiry, In Health may receive your name, email address, phone number, the service you are interested in and the brief reason you provide for contacting the practice. The website opens your own email application with this information pre-filled; it does not submit or save the enquiry in a website database.
If you become a client, information collected may include contact details, date of birth, emergency contact details, health history, symptoms, medications and supplements, allergies, lifestyle information, consultation notes, treatment plans, referrals, pathology or test information, correspondence, consent records, and payment or invoice information. Only information reasonably needed to provide and manage services should be collected.
Please do not include detailed or sensitive health information in your first enquiry email. A suitable and more private way to provide it can be arranged with Shirley.
How information is used
Information may be used to:
- respond to enquiries and arrange appointments or training;
- provide naturopathy, nutritional, herbal medicine and energy services;
- understand your needs, maintain client records and support continuity of care;
- communicate about appointments, recommendations, referrals and follow-up;
- process payments, issue invoices and meet legal or professional obligations; and
- manage the safety, administration and operation of the practice.
Health information is sensitive information. It will only be used or disclosed for the purpose for which it was collected, a closely related purpose you would reasonably expect, with your consent, or where permitted or required by law.
Storage and security
In Health does not use a practice-management or client-record software system. Client files are stored in Dropbox, business email is provided through Microsoft Outlook Exchange, and telehealth sessions may use Microsoft Teams or Zoom. Some current records may occasionally be kept on paper as well. In Health takes reasonable steps to protect personal information from loss, misuse, interference, unauthorised access, modification or disclosure, whether it is stored digitally or on paper.
Information will be kept only for as long as required for the practice's services and applicable legal or professional record-keeping obligations. In Health keeps client records for seven years. When information is no longer required, it is securely destroyed or de-identified where lawful and appropriate.
Service providers and disclosure
In Health uses Dropbox for cloud file storage, Microsoft Outlook Exchange for email, and Microsoft Teams or Zoom for telehealth sessions. Laboratories, dispensaries, product suppliers and other suppliers used by the practice are Australian companies. These providers may receive relevant information only where needed for their service, with consent where required, or where authorised by law.
Some of these service providers, such as Dropbox, Microsoft and Zoom, are international companies, which means some information may be stored or processed outside Australia. In Health does not sell client information.
Website technology
This website does not use analytics services, advertising pixels or site-set cookies. It loads Google Fonts, which means a visitor's browser connects to Google's font servers and may send technical information such as an IP address and browser details. The website host may also process ordinary technical request and security logs.
The optional session suggestion tool sends the words you enter to Lovable AI to suggest relevant services. Please keep your description general and do not enter identifying or detailed health information. The suggestion is not a medical recommendation. The practice does not add this description to your client record through the website.
Access and correction
You may ask to access personal information In Health holds about you or request a correction if it is inaccurate, out of date, incomplete, irrelevant or misleading. Email your request to hello@inhealthwellness.com.au. Identity may need to be verified before information is released. If access or a correction cannot be provided, In Health will explain why where required.
Privacy questions or complaints
Please email hello@inhealthwellness.com.au with a privacy question or complaint. Include enough information to understand the issue, but do not email unnecessary health details. In Health will acknowledge and consider the concern and respond within a reasonable time. If you are not satisfied, you may be able to contact the Office of the Australian Information Commissioner or another relevant health complaints body.
